Who is responsible

Solid Software B.V., Rümkelaan 32, 3571 XW Utrecht, the Netherlands (KvK 94194432), is the controller for the data you leave on bookofmypet.com. Privacy questions: support@solid-soft.nl.

What we process and why

Your book. Your pet's name and species, the years, your answers, the photos you upload, the drawings and the words made from them, and the e-mail address you give when paying. Without these we cannot make the book or send you the link. Legal basis: performance of the contract.

The hardcover. The delivery address and name you give at checkout, and the PDF of the book. Legal basis: performance of the contract.

Your payment. It runs entirely through Stripe. Stripe asks for your e-mail address and, for the hardcover, the delivery address. We do not receive or store payment details; we only see that payment was made. Legal basis: performance of the contract and the statutory duty to keep accounting records.

Making the book. Your photos and answers go to Anthropic to write the words and to ask one question per photo; the photo you chose goes to Cloudflare to make the drawings. Every photo is checked automatically for prohibited content before use. Anthropic does not use this input to train AI models. Legal basis: performance of the contract and, for the check, our legitimate interest in preventing abuse.

E-mails. We send the link to your book, the message that it is ready, one reminder three days later if you have not ordered the hardcover, two messages, a month and a week before the book is deleted, and the shipping confirmation of the hardcover. No other mail. Legal basis: performance of the contract.

The question chat, only if you use it. The chat button opens our own service FAQ Plus (faqplus.app). What you type there goes to Anthropic to compose an answer from our documents. The conversation is not kept after you close the page; a question the documents could not answer is kept without your data, to improve our explanations. If you ask for your question to be passed to our team, we keep that question and the e-mail address you give until it is dealt with. Legal basis: performance of the step you ask for and our legitimate interest in answering questions.

Abuse protection. Your IP address is used for a limit on the number of books that can be started from one connection. Legal basis: our legitimate interest in preventing abuse of the service.

Withdrawals. If you fill in the withdrawal form, we keep your e-mail address, the order number and your note to handle the withdrawal. Legal basis: legal obligation and performance of the contract.

There are no accounts. We do no profiling and take no automated decisions with legal effects; the automatic photo check can refuse a photo, and you can then choose another photo or write to us.

How long we keep data

A book that was started but not paid for is deleted after one day, with the photo.

A year after the book is ready, or a year after a hardcover order, we delete the photos, the drawings, the PDF, your answers and your e-mail address. A month and a week before, we send an e-mail with a link that keeps the book another year.

What remains is an order line without personal data (number, pet's name, status, dates) and the payment records at Stripe, which we keep for seven years because tax law requires it.

The private link to your book is a code that cannot be guessed and opens the editor; keep it to yourself. A share link, if you make one, lets anyone who has it read the book without changing it; it stops when you stop it or when the book is deleted.

Who we share with

Only with parties needed to make, deliver and pay for the book:

Cloudflare: hosting, storage of photos and books, making the drawings, abuse protection and visit statistics.

Anthropic: your photos and answers to write the words and check the photos, and your messages in the question chat.

Stripe: payment; receives your e-mail address and, for the hardcover, the delivery address.

Resend: sending our e-mails.

Gelato ASA (Oslo, Norway) and the printer Gelato engages in or near the country of delivery: the PDF, your name, the delivery address and your e-mail address, only for a hardcover order.

We do not sell data and do not use it for advertising. Where Cloudflare, Stripe, Anthropic or Resend process data outside the European Economic Area, they do so under the European Commission's standard contractual clauses or another lawful transfer mechanism.

Cookies

We use no cookies and do not track you across sites; that is why there is no cookie banner. The link to your book carries the access code; nothing is stored on your device.

Visit statistics. We count page views with Cloudflare Web Analytics. It works without cookies and without storage on your device, and builds no profile of you. Per page view technical data is recorded such as the page visited, the referring site and the browser type; we see only totals. Legal basis: our legitimate interest in knowing how the site is used.

Your rights

You have the right to access, correct, delete, restrict, object to and transfer your data. Write to support@solid-soft.nl; you get an answer within a month at the latest. If you are not satisfied with how we handle your data, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority in your own country.

Changes

If we change this statement, we do so on this page; the version date is at the top.
