Who is responsible

Solid Software B.V., Rümkelaan 32, 3571 XW Utrecht, the Netherlands (KvK 94194432), is the controller for the data you leave on bookofmypet.com. Privacy questions: support@solid-soft.nl.

What we process and why

Your book. Your pet's name and species, the years, your answers, the photos you upload, the drawings and the words made from them, and the e-mail address you give at the start. Without these we cannot make the book or send you the link. Legal basis: performance of the contract.

The hardcover. The delivery address and name you give at checkout or at "Print the hardcover", and the PDF of the book. Legal basis: performance of the contract.

Money back for a hardcover that was not printed. The account holder's name and the IBAN you give, to transfer the amount; we delete the IBAN once the amount is transferred. If a book is deleted while a paid hardcover has not been printed, we keep the e-mail address, the amount and the payment number until the claim lapses, to pay you if you ask. Legal basis: performance of the contract and the statutory retention duty.

Your payment. It runs entirely through Stripe. Stripe asks for your e-mail address and, for the hardcover, the delivery address. We do not receive or store payment details; we only see that payment was made. Legal basis: performance of the contract and the statutory duty to keep accounting records.

Making the book. Your photos and answers go to Anthropic to write the words and to ask one question per photo; the photo you chose goes to Cloudflare to make the drawings. Every photo is checked automatically for prohibited content before use. Anthropic does not use this input to train AI models. Legal basis: performance of the contract and, for the check, our legitimate interest in preventing abuse.

E-mails. We send the link to your book, one reminder a day later if the book has not been paid for, the message that it is ready, one reminder a day after you go back to the questions to have the book made again, while it is not finished, for a gift that includes the hardcover, one reminder three days later while your address is missing, for a hardcover you bought with the eBook, one reminder three days after payment while it is not printed, one message a month before the book is deleted, the confirmation of a hardcover order and of its shipping, and the acknowledgement of a withdrawal. Legal basis: performance of the contract. If you buy the eBook, we also send one e-mail about the hardcover five days after the book is ready, unless you ordered it or objected: with the box when paying, or with the link in that e-mail. Legal basis: our legitimate interest in offering our own product to our customers (article 6(1)(f) GDPR; article 13(2) of Directive 2002/58/EC and article 11.7 of the Dutch Telecommunications Act). No other mail without your consent. If you agree to a review request, Trustpilot sends you on our behalf one e-mail asking for a review: at the earliest four days after you started the book, and if you ordered a hardcover, only once it has been delivered or nine days after it shipped. Legal basis for that: your consent.

News and offers, only if you tick the box on the page of your ready book. We first send one e-mail with a link to confirm; without that confirmation we send nothing. After it we e-mail you now and then with news and offers, such as the book as a gift. We store when you ticked the box and confirmed, and the text of the box. Every such e-mail has a link to stop, and unticking the box stops it too. Legal basis: your consent.

The question chat, only if you use it. The chat button opens our own service FAQ Plus (faqplus.app). What you type there goes to Anthropic to compose an answer from our documents. The conversation is not kept after you close the page; a question the documents could not answer is kept without your data, to improve our explanations. If you ask for your question to be passed to our team, we keep that question and the e-mail address you give until it is dealt with. Legal basis: performance of the step you ask for and our legitimate interest in answering questions.

Abuse protection. A hash of your IP address is kept with a book that is not yet paid for, to limit the number of books started from one connection; it is removed at payment, or with the unpaid book. Legal basis: our legitimate interest in preventing abuse of the service.

The free preview, only if you ask for one. We send a six-digit code to your e-mail address to confirm it. To hold everyone to the limits on free previews, we keep a hashed form of your e-mail address with the number of free previews it had and of eBooks paid for with it, and a hashed form of your IP address with each free preview. Cloudflare Turnstile checks that the request comes from a person. We e-mail you the code, the message that the preview is ready and a reminder a day and a week later while it is not paid for; if the day's free previews had run out, one e-mail the next morning. Legal basis: performance of the contract you asked for and our legitimate interest in preventing abuse of the free preview.

The poem generator, only if you use it. The name, the animal and the things you type go to Anthropic to write the poem; we do not store them or the poem. Cloudflare Turnstile checks that the request comes from a person, and a hashed form of your IP address is kept for two days to limit the number of poems per connection. Legal basis: your request, and our legitimate interest in preventing abuse.

The example page, only if you tick the box under the share link. After we have read the book, we show it, with your pet's name and the photos, on a public page that search engines can index. Your email address is not on it. Untick the box or stop the share link and the page is removed. Legal basis: your consent.

Withdrawals. If you fill in the withdrawal form, we keep your e-mail address, the order number and your note to handle the withdrawal. Legal basis: legal obligation and performance of the contract.

A gift. Your name and email address as the giver, the recipient's name and, if given, email address, the pet's name and your message, and the card made from them. We email you the link, the card, the notice that the gift was unwrapped and that the book is ready, and a reminder a month before it expires; at your request we email the recipient the link with your message and, two weeks later if the gift is still unopened, one reminder. Basis: performance of the contract.

There are no accounts. We do no profiling and take no automated decisions with legal effects; the automatic photo check can refuse a photo, and you can then choose another photo or write to us.

How long we keep data

A book that was started but not paid for is deleted after one day, with the photo, or after thirty days when an e-mail address was given.

A free preview that is not paid for is deleted 30 days after you asked for it. The hashed IP address of a free preview is deleted after seven days, the hashed e-mail address with its counts a year after its last change.

Of a gift we delete the names, the email addresses, the message and the card a year after it expires or is refunded, or as soon as the book made with it is deleted. A gift whose payment did not go through is deleted after one day.

2 years after your last visit to the book we delete the photos, the drawings, the eBook, your answers, your e-mail address, the delivery address and your consent to news and offers. A month before, we send an e-mail with a link that keeps the book another 2 years.

What remains is an order line without personal data (number, pet's name, status, dates, and the campaign or site the visit came from) and the payment records at Stripe, which we keep for seven years because tax law requires it.

The private link to your book is a code that cannot be guessed and opens the editor; keep it to yourself. A share link, if you make one, lets anyone who has it read the book without changing it; it stops when you stop it or when the book is deleted.

Who we share with

Only with parties needed to make, deliver and pay for the book:

Cloudflare: hosting, storage of photos and books, making the drawings, abuse protection and visit statistics.

Anthropic: your photos and answers to write the words and check the photos, and your messages in the question chat.

Stripe: payment; receives your e-mail address and, for the hardcover, the delivery address.

Resend: sending our e-mails.

Trustpilot A/S (Copenhagen): your e-mail address and the book number, only if you asked for a review invitation; Trustpilot sends one invitation on our behalf. You withdraw your consent by e-mailing us; we then ask Trustpilot to delete the invitation data.

Print.one B.V. (Zwolle, the Netherlands): the card, your name and your address, only if you order the gift card by post.

Gelato ASA (Oslo, Norway) and the printer Gelato engages in or near the country of delivery: the PDF, your name, the delivery address and your e-mail address, only for a hardcover order.

We do not sell data. We use your e-mail address for our own news and offers only if you agreed to them, and give it to no one for advertising. Where Cloudflare, Stripe, Anthropic, Resend or Trustpilot process data outside the European Economic Area, they do so under the European Commission's standard contractual clauses or another lawful transfer mechanism.

Cookies

We use no cookies and do not track you across sites; that is why there is no cookie banner. The link to your book carries the access code; nothing is stored on your device.

Visit statistics. Our server counts per day how often each page is viewed, which site or link visitors come from, which page they open next, the type of device, the country and the network (internet provider). On the start page we also count how often a step is taken. We keep only these totals, no IP address or other data about you, and use no third-party service for it. Legal basis: our legitimate interest in seeing how the site is used.

Your rights

You have the right to access, correct, delete, restrict, object to and transfer your data. Write to support@solid-soft.nl; you get an answer within a month at the latest. If you are not satisfied with how we handle your data, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority in your own country.

Objecting to the hardcover mail. You can object to the e-mail about the hardcover at any time, free of charge and without giving a reason: with the box when paying, with the link in that e-mail, or by writing to support@solid-soft.nl. We then do not send it.
